Tournament Director Expectations: COACH PASS MANAGEMENT 1.2

At all Gold, Silver, and Bronze tournaments, Tournament Directors (TDs) must ask visiting coaches to show their digital Coach Pass to enter the venue/event.

MULTIPLE VENUES:

  • To clarify, if your event is held at more than one venue, each Site Manager must:
    • Hold a Coach Pass Premium (which includes SafeSport training)
    • Pass the Junior Policy Exam and Level 4 Officiating Exam.
  • If an assistant pro is working at the same venue as the TD, they only need a Coach Pass Basic.

IF A COACH DOES NOT HAVE A DIGITAL PASS:

  • Collect the coach’s details:
    • Name
    • Cell number
    • Email address
    • Name of the family/player they are coaching (if known)
  • Send this information to coaching@ussquash.org so US Squash can assist the coach in obtaining a pass.
  • Inform the coach they must complete SafeSport training and obtain a Coach Pass to continue coaching at the event.

VENUE SET UP FOR COACH PASS:

  • Set up a tournament check-in desk at the entrance to the squash court area so all coaches need to pass by the desk and be checked in prior to coaching.

COACH CHECK-IN PROCESS:

  1. Ask: “Please show me your digital Coach Pass.”
    • It should be saved in the coach’s phone wallet.
    • It must be Green (Basic) or Blue (Premium) for entry at Bronze, Silver, or Gold events.
  2. If pass is RED:
    • The coach’s SafeSport status is expired.
    • They must update SafeSport certification before entering the court area.
  3. If no pass is shown please:
    • Collect their name, cell number, email, and player’s family name (if known).
    • Explain they need a valid pass to coach.
    • Only allow entry once you have verified their SafeSport certificate.

VIRTUAL COACHING AT TOURNAMENTS:

From time to time, some players may not have a coach physically present at the tournament, but they may receive coaching via facetime or equivalent before, during or after their matches. Coaching virtually still requires a coach to have a valid Coach Pass. If a tournament director sees this happening, they must ask that coach for their Coach Pass.

If the coach cannot show a valid coach pass then the call should be stopped immediately, and the phone confiscated if necessary.

REMINDERS:

  • Display the Coach Pass Poster at all venues to inform coaches and families about this requirement and the need for compliance.
