Tournament Director Expectations – COMMUNICATION & MATCH INFO 1.6

Each tournament is assigned a US Squash Tournament Support person. Timely and complete communication with your Support person is essential to running a smooth event. Support can only be effective if full and accurate information is provided.

KEY POINTS:

  • If you need to communicate during the tournament weekend, email both your Tournament Support person and Tournaments@USSquash.org.
  • Be clear about:
  • Number of courts at each venue.
  • Which courts are converted courts or show courts for finals.
  • Which courts have limited or no spectator viewing.
  • If using multiple venues, your Tournament Support will work with you on age group allocations by venue.
    (Final decisions rest with Tournament Support based on entry size, draw size, and referee needs.)
  • Do not communicate age group venue allocations to participants without confirming them with your Tournament Support person.

MATCH TIME ALLOCATIONS:

  • Bronze matches: 30 minutes per match.
  • Silver matches: 35–40 minutes per match.
  • Gold matches: 35–40 minutes per match.
  • Do not request less than 30 minutes per match.

REST PERIODS BETWEEN MATCHES:

  • Bronze: 90 minutes minimum.
  • Silver: 2 hours minimum for U11, U13 and U15. 3 hours minimum for U17 and U19.
  • Gold: 3 hours minimum for U11, U13 and U15. 4 hours minimum for U17 and U19.
  • JCT: 3 hours minimum for U11, U13 and U15. 4 hours minimum for U17 and U19.

NUMBER OF MATCHES PER DAY:

  • National Championships/JCT’s and Gold: U11-U15 3 matches per day and U17-U19 2 matches per day.
  • Silver tournaments: All divisions – 3 matches per day.
  • Bronze tournaments: All divisions – 4 matches per day.

PARTICIPANT EMAILS:

  • Answer all emails sent to you from participants that you possibly can. Do not forward every tournament-related email to your US Squash support contact.
  • Your knowledge of the US Squash policies should allow you to answer basic questions.
  • Be accountable: Running the tournament is your responsibility.
  • Every TD must be familiar with Junior Policies and Rules of Squash, especially the injury, illness and blood rules. (Keep a copy handy during the event.)
  • Expect to actively monitor your email, texts, and voicemails before and during the tournament for late withdrawals or schedule adjustments. Immediate communication with opponents is required for any changes.

WITHDRAWALS:

  • From Monday at 12pm during the week of the tournament any withdrawals gets classified as a late withdrawal. A doctors note does not change this.
  • From Thursday at 12pm any withdrawals will be classed a default on the draw.
  • Withdrawals happen! DO NOT process the withdrawals or make the changes on the draw yourself. US Squash will deal with this.

Please note: NEVER totally withdraw/remove a player from the draw. During the tournament a player can ONLY retire or be defaulted. 

PLAYER MANAGEMENT ON CLUB LOCKER:

Do not deal with player requests on Club Locker for your tournament. Your US Squash tournament support will deal with this. 

COMMUNICATE WITH YOUR PARTICIPANTS:

Effective communication with participants is critical to ensuring a positive tournament experience.

  • Timely responses: Actively monitor and respond promptly to participant emails, texts and voicemails both in the lead-up to and during the tournament. Do not forward every tournament-related email to your US Squash support contact. Immediate communication with opponents is required for any changes.
  • Your knowledge of the US Squash policies should allow you to answer basic questions.
  • Be accountable: Running the tournament is your responsibility.

  • Use the Tournament Home Page:
    Direct participants to the tournament home page for most questions.
    Keeping the tabs updated with all relevant information will minimize repeated inquiries and save you time.
  • US Squash Support Emails:
    US Squash tournament support will send out important participant communications on your behalf, including:
  • Pre-event information and reminders
  • Sportsmanship expectations for players
  • Behavior expectations for parents
  • A post-event tournament survey
  • Optional Additional Emails:
    You may choose to send your own communications to participants to:
  • Welcome them to the event
  • Provide updates or important last-minute information
  • Thank them for attending after the tournament concludes
